Terms and Conditions

These booking conditions outline the terms of your agreement with Inside West Africa. Please review them carefully, as they explain both your rights and responsibilities, as well as ours. By requesting that we confirm your booking, you confirm that you and everyone named in the booking have had the opportunity to read and accept these conditions.

These terms apply only to the holiday arrangements that you book with us and that we agree to organise, provide, or carry out as part of our contract with you. Unless otherwise specified, references to “holiday,” “booking,” “contract,” “package,” “tour,” or “arrangements” in these conditions refer to those holiday arrangements.

In these booking conditions, “you” and “your” refer to all individuals named on the booking, including anyone added or substituted at a later stage, where applicable. “We,” “us,” and “our” refer to… Inside West Africa

  • To proceed with a booking, our booking form must be fully completed. For online reservations, this includes selecting the relevant confirmation checkbox where indicated. The form must be completed and approved by the individual listed as the lead traveller on the booking (the “party leader”).The party leader is responsible for ensuring that they have the full authority and consent of every person included in the booking to enter into the agreement under these booking conditions. Where any traveller is under the age of 18 at the time the booking is made, the party leader must also have the consent and authorisation of that minor’s parent or legal guardian. By signing or electronically confirming the booking form, the party leader confirms and warrants that they are duly authorised to act on behalf of all travellers named in the booking and to accept these booking conditions for and on behalf of each of them.

PAYMENT

  • In order to confirm your chosen tour, we will require at the time of booking a deposit of 10% per person for escorted group tours, or up to 30% of the total tour cost for a tailor-made trips (please note that depending on your chosen arrangements the required deposit may be different to these amounts. If it is we will advise you accordingly at the time of booking) In addition some tours may require further interim payments.
  • The remaining balance of the tour price must be paid in full no later than 70 days before the scheduled departure date, although certain tours may require payment significantly earlier. The specific final payment deadline applicable to your booking will be clearly stated on your confirmation invoice. Please note that payment reminders may not always be issued.If we do not receive all amounts due — including any applicable surcharges — in full and within the required timeframe, we reserve the right to treat the booking as cancelled by you. In such circumstances, we shall be entitled to retain as much as 60% of the tour fee.

Passports, Visas and Health Matters:

You are responsible for ensuring that you understand all passport and visa requirements for the country or countries you plan to visit at the time of booking. As these requirements can change, you should confirm the latest information with the relevant embassy or consulate for any destination or transit country well before your departure date. Please note that many countries require passports to remain valid for at least six months beyond the end of your trip and may also require a certain number of blank pages for visas. It is your responsibility to ensure you are fully aware of all recommended vaccinations, and health requirements and precautions for your destination in good time before  you travel. 

Cancellation By You:

  • We incur cost from the date of booking
  • Less than 30 days before the tour – 100% of tour cost loss
  • 50 days before departure, 70% of tour cost loss
  • 70 days before tour date, -60% of tour cost loss
  • Anything before 70 days incurs a 50% loss.

CANCELLATION BY US:

  • We begin planning our tours many months in advance. On occasion, we may need to update or correct information on our website or in our documentation, both before and after bookings are confirmed, and in rare cases we may need to cancel confirmed bookings. While we always aim to minimise changes and avoid cancellations, we reserve the right to amend or cancel a booking in any circumstances.Please note that our escorted group tours are subject to minimum participant numbers in order to operate. If the required minimum number of bookings for a specific tour is not reached, we may cancel the tour. In such cases, we will inform you of the cancellation at least eight weeks before the scheduled departure date. In the case of a total cancellation, we will be entitled to keep the booking fee and refund the rest.

CHANGES BY YOU:

Changes by you should be sent in a written format as soon as possible and they attract a $100 fee.

Force Majeure: 

  • “force majeure” means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid even if all reasonable measures had been taken. Such events may include but are not limited to, whether actual or threatened, war, riots, civil strife, terrorist activity, significant risks to human health such as the outbreak of serious disease at the travel destination, epidemics/pandemics or other health emergency, industrial dispute, natural, or nuclear chemical or biological disaster, adverse weather conditions, such as floods or earthquakes or weather conditions which make it impossible to travel safely to the travel destination or remain at the travel destination, fire, unavoidable problems with transport and all similar events outside our or the supplier(s) concerned control. Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our obligations under our contract with you is prevented or affected by or you otherwise suffer any damage, loss or expense of any nature as a result of “force majeure”.
